Why DMs Are the Wrong Tool for Client Intake

Instagram and TikTok DMs collapse everything into a single thread — compliments, questions, spam, and genuine booking enquiries all arrive in the same place. You cannot filter by intent. You cannot search for the client who mentioned they wanted a sleeve three weeks ago. You cannot set a reminder. The inbox is organised by recency, not by priority.

The first failure point is visibility. The second is qualification. A DM conversation that takes four exchanges just to establish the basics — size, placement, style, budget — is a conversation that will often die before it converts. People lose interest. They message someone else. They book who was easier to reach.

A proper intake form — linked in your bio, pinned to your story highlights, included in your auto-reply — moves the responsibility onto the client. Instead of a back-and-forth, they fill in everything at once: name, email, idea, placement, size, style reference, budget, availability, and any relevant skin or health notes.

You wake up to structured information instead of a scattered conversation. You can scan twenty requests in five minutes instead of excavating twenty threads. You also qualify your clients passively — someone who fills out a detailed form is a client who is genuinely interested.

The intake form also sets up the deposit conversation naturally. Once a client has submitted a formal request, the path to a deposit feels logical — not aggressive. What This Actually Looks Like Week to Week

  • Link your intake form in your Instagram and TikTok bio — one link, directly to the form
  • Add a story highlight called 'Book' that explains your process and links to the form
  • Set up an auto-reply on Instagram DMs that directs people to the form
  • Check your request board twice a day — morning and evening — instead of monitoring DMs constantly
  • Reply only to qualified requests — decline everything else via a single template message

This is not about being less accessible. It is about being accessible in a way that actually converts to paid work. Artists who implement a structured intake consistently report booking more clients with less time spent on communication — which is time spent tattooing, which is where the money actually comes from.
